Outline Overview

You can use Word's Outline View to organize a document (similar to PowerPoint's presentation organizer). In Outline View, each section is marked with a plus (+) or a minus (-) sign. Drag these symbols to new positions in the document and Word will reorganize the document accordingly.

Hasty Headers, Fast Footers

The most common header and footer formats are available via the Header and Footer toolbar. Select View/Header and Footer; on the toolbar that appears, click on the Insert AutoText button to choose one of the predefined options. Click on the appropriate buttons to insert date, time, page number or number of pages.

Styles Join Your Toolbar

If you use various Styles frequently create a toolbar to access them quickly. Select Tools/Customize and create a new toolbar that you can drag your favorite styles to.

Snail Mail Speedup

Add a barcode to your envelope to help speed up U.S. mail delivery. Select Tools/Envelopes and Labels. In the Delivery address box, enter the destination address. Click on Options, then choose the Envelopes Option tab. In the "If mailed in the USA" box, click on "Delivery point barcode.".

Your Own Private Grammar Checker

If you create different types of documents, you may want to adjust the grammatical style used by the grammar checker. To do this, select Tools/Options/Spelling & Grammar and choose the desired writing style. Sounds Like a Winner You can use the Sounds Like search option to find a word in your document even if you can't remember the exact word. Select Edit/Find or Edit/Replace; you may have to click on the More button to display the expanded dialog box where you can choose the Sounds Like option.

Truer Tables

Use the Right, Left and Center buttons to position a table within your document. For example, if you want to center your table on the page, select the entire table and click on the toolbar's Center button.

Action-Sensitive Help

The Office Assistant provides action-sensitive help. When enabled. Office Assistant will light up a yellow bulb if it has information on actions you have taken. Click on the yellow bulb to receive tips.

Balancing Tables

When creating a table, you may need to resize columns and rows to make them the same width and height. Select the cells you need to resize and click on the Distribute Evenly buttons on the Table toolbar.

New Trajectory for Table Text

Click on the Change Text Direction button on the Table toolbar to change the direction of a table's text (for example, from top to bottom or bottom to top, instead of left to right).

Coin a Phrase

If you type the same phrase repeatedly, you can save these words as AutoText. Highlight the text, select Insert/AutoText, choose New and enter a name for the AutoText entry. Henceforth, when you type the AutoText entry name Word 97 will substitute your original text.

Transform Formats

If you change the formatting of a style section, Word can automatically update the style and the formatting of other sections to reflect the changes. Turn on Automatically Update in the Modify Style dialog box (select Format/Style/Modify to display this dialog box).

Picture This

Spice up your documents with snappy graphics. To insert an AutoShape into your document click on the Drawing button to display the Drawing toolbar and click on the AutoShapes button. Choose a shape and drag it into the document. Right-click on the shape, choose Format AutoShape, and choose the Colors and Lines tab. In the Fill section, click on Color, then Fill Effects, choose the Picture tab and click on Select Picture. Choose the graphic file you want to use, then click on OK twice.

Edit E-Mail in Word

If you use Microsoft Outlook, you can employ Word as an e-mail editor and take advantage of features such as Spell-It, Auto-Correct and Auto For mat. Select Tools/Options/E-mail in Outlook and check the "Use Microsoft Word as the e-mail editor" box.

Electronic Mail Merge

Use the Mail Merge feature to automate sending personalized e-mail to a group. Select Tools/Mail Merge and follow the three-step directions. At the third step, instead of selecting Merge to New Document, select Merge to Electronic mail from the Merge dialog box.

Keep Up Appearances

To create an appealing presentation on your Web page, use tables (with or without borders). You can organize columns of graphics and text so they will be aligned together in Web browsers.

Under a Spell

You can double-click on the spelling and grammar status icon on the status bar to find the next misspelling and open the Spelling shortcut menu.
